How to choose a School ERP: a practical checklist for principals

What to look for in school management software — from fee collection and report cards to data migration and support.

Start with your biggest daily headaches

Before you look at any software, list the tasks that take your office the most time. For most schools it's fee collection and follow-ups, attendance, exam marks and report cards, and answering parents' questions.

A good School ERP should make these specific tasks faster. A long feature list matters less than how well it handles the work your staff do every day.

Check the core modules

Make sure the system covers the basics in one place, so your data isn't split across tools:

  • Admissions and student records
  • Attendance (with SMS or app alerts to parents)
  • Exams, grading and printable report cards
  • Fee structures, concessions, receipts and reminders
  • Timetable and staff details
  • Transport routes, if you run buses

Fee collection should be simple for parents

Online fee payment via UPI, cards and net banking saves your accounts team hours every month. Check that receipts are generated automatically and that pending fees are easy to track and follow up.

Ask whether fee reports can be exported easily for your accountant, so you're not entering the same numbers twice.

Report cards in your board's format

CBSE, ICSE and State boards each have their own report card formats and grading rules. Ask the vendor to show a report card in your exact format during the demo, not just a generic sample.

A parent portal that parents will actually use

Parents mostly want to see attendance, homework, circulars, results and fees due. It should be simple and work well on everyday phones.

Data migration, training and support

Switching systems is where most schools struggle. Ask who will move your existing student, fee and staff data from Excel or your old software, and whether your office staff and teachers will get hands-on training.

Find out how support works after go-live: Can you call or WhatsApp a real person? Will someone help during busy periods like admissions and exam time?

Questions to ask in every demo

  • Can you show this with our own data?
  • Who moves our existing data, and is there a charge?
  • How long until we're fully live?
  • What will parents see on their phones?
  • How is pricing calculated — per student, per year, or a flat fee?
  • Where is our data stored, and who can access it?

The bottom line

Choose the system your staff find easiest to use, from a team that will set it up properly and stay reachable afterwards. A short demo on your own data will tell you more than any brochure.
