Why switching feels hard
Your current spreadsheets or software hold years of work, and your team knows them well. The good news is that a planned move usually takes a few weeks, not months, and most of the effort is in the first few days.
Step 1: Pick a clean starting point
Choose a natural start date — the beginning of a month, quarter, financial year or school term. Starting at a clean break makes opening balances and reports much easier to match.
Step 2: Decide what to move
You don't always need to move everything. Older records can stay in your old system for reference.
- Masters: customers, suppliers, items, students, staff
- Opening balances: ledgers, stock and outstanding fees or invoices
- History you actually use, for example last year's fee records
Step 3: Clean your data first
Remove duplicates, fix spellings and fill in missing details like phone numbers and GSTINs. Clean data in means clean reports out.
Step 4: Run both systems side by side, briefly
For a short period, keep entering key transactions in both places and compare the results. Once the numbers match, switch fully to the new system.
Step 5: Train the people who use it daily
Short, hands-on sessions for each role — accounts, front office, teachers or billing staff — work better than one long session for everyone. Keep a simple checklist of everyday tasks for the first few weeks.
